The first floor Municipal House, the magnificent Art Nouveau building located right in the city centre features a grandiose concert hall – the Smetana hall – displaying rich painted interior ceilings and walls and an outstanding organ dominating the large stage. The concert hall is surrounded by small and originally decorated smaller rooms connecting with each other in a triangle shape.

Challenge:

Using the large space of the Municipal House, where concerts and balls are held with over 600 people for a privileged group of only 120 people and entertain them during the whole evening. Another challenge was for the catering company to be able to carry all the 12 roundtables with the whole gala dinner setup already on it (glasses, china porcelain, cutlery…) without any default. The preparation of this part of the show took more than half-a-day in order to coordinate the movement and avoid breaking or dropping anything.

Realization:

The evening was organized more as an surprise happening in the different locations of the Municipal House rather than a classical seated gala dinner:

1. Before the evening started, the group was invited to a make up room in the hotel, to dess up in 1920's costumes with props, accessories, costumes. Make up was also available for the women;
2. The group was then taken for an exclusive ride around the city onboard Old Timer cars from the early 20th century;
3. Upon arrival at the Municipal House, the group was welcomed in the Foyer of the Smetana hall for an interactive welcome cocktail and starters with finger food being prepared on the spot at the buffet stations by the cooks in a show performance.
4. Then, the large doors of the Smetana hall opened and the group was led by the master of ceremony to the empty and dark Smetana hall in front of the stage. As the lights were put on the stage, the host of the evening appeared to welcome them. The managing director of the company then proceeded with the award ceremony for the best sales force of the year.
   …As the evening was unfolding in front of their eyes, the group started to fill intrigued and excited about the next step ahead of them…
5. At the end of the award ceremony, a master of ceremony invited the guests to proceed to their chairs. Those chairs were standing in two raws on each part of the room but the tables were nowhere to be seen… He then called for the tables to appear… coming from the foyer, the gala dinner roundtable appeared, fully set with beautiful linen, china, cutlery and sparking glasses, carried by the catering staff who were led by street dancers and jugglers to the specific located indicated by the lighting spots.
6. The group was then asked to take their chairs from the side of the room and seat at their tables to enjoy the main course of the evening.
7. After the seated dinner, guests were again asked to follow the master of ceremony into the other rooms of the Municipal House to enjoy a dessert buffet and a well deserved after dinner party!
